MOTORDAT ROM Tools is a purpose-built platform that gives regional managers everything they need to do this more effectively. It provides a structured site visit assessment tool with weighted scoring against agreed standards, alongside access to MOTORDAT network data. This gives a clear view of dealer performance before, during and after each visit, with tracking of actions and improvements over time.
Every element is configurable by the manufacturer, including questions, category weightings, scoring thresholds and required actions, ensuring consistent assessment standards across the network.

KEY FEATURES.
STRUCTURED SITE VISIT ASSESSMENTS.
A structured, weighted assessment of the dealer site covering exterior, showroom, staff, interior and service. Each category is scored independently and combined into an automatic Pass, Conditional Pass or Fail. ROMs complete the checklist on site, scoring each item accordingly.
CRITICAL AND IMPROVEMENT ACTIONS.
Questions are marked as standard, partial pass or critical. Critical failures trigger immediate actions for resolution, while other failures generate improvement actions with owners and due dates. All actions are tracked in ROM Tools for visibility between visits.
NOTES, IMAGES AND EVIDENCE.
Partial passes and failures require notes and, where relevant, photographic evidence. ROMs can capture images in the tool, link them to specific questions and include them in dealer reports. Resolution evidence can also be added, creating a complete visual record of improvement over time.
AUTOMATED DEALER REPORTS.
After each visit, ROM Tools generates a PDF report showing overall score, category breakdown and all critical and improvement actions with owners and due dates. It also highlights completed and outstanding actions from previous visits to maintain continuity.
ACTION TRACKING BETWEEN VISITS.
ROM Tools provides a live action log for each dealer. ROMs can quickly see outstanding, overdue and completed actions, helping prioritise follow up and identify where additional support is needed before the next visit.
FULLY CONFIGURABLE BY MANUFACTURER.
Manufacturers control all core settings, including questions, categories, weightings, scoring thresholds and critical items. ROMs can add supplementary questions, but core standards remain consistent across the entire network.
HOW IT WORKS.
Arrive Informed, Assess Consistently
Before each visit, ROMs review full dealer performance data in ROM Tools, including historical scores, outstanding actions, reporting insights and improvement trends, ensuring consistent and informed assessments from the outset.
On site, they complete a structured, weighted assessment, recording pass, partial pass, fail or not applicable per item, with supporting notes and photographic evidence where required. Critical failures are flagged immediately for action.
Generate Report and Agree Actions
Once complete, ROM Tools automatically calculates the overall result as Pass, Conditional Pass or Fail. A professional dealer report is generated showing the score, category breakdown and all critical and improvement actions with owners and due dates.
The report also highlights outstanding and resolved actions from previous visits, giving dealers a clear view of progress, expectations and timelines.
Track Actions and Drive Improvement
Between visits, ROM Tools maintains a live action log for each dealer, showing outstanding, overdue and completed actions in real time. Resolution evidence can be uploaded directly, reducing the need for further visits to validate completion.
Over time, assessment trends show clear dealer performance patterns, highlighting improvement, stability or decline and enabling targeted support based on evidence.
